Microsoft Teams (Online classroom): Creating a session

This guide introduces setting up a Microsoft Teams session from your Moodle course.

Introduction

The Microsoft 365 LTI meeting interface will create Teams meetings to use as online teaching sessions.

We recommend setting up sessions to match timetabled teaching sessions. This will let users see a list of upcoming online classes with their dates and times in the Upcoming Tab.

Whoever creates a meeting session will be set as organiser of the meeting, which gives them exclusive control of the pre-meeting settings and means they are the only person who can move or cancel the session.

The organiser will also always be the recipient of the session recording file. Ensure your organisers are prepared and available for ongoing management of meetings and recordings.

Some meeting options are only editable after initially saving the meeting then returning to Edit it. See Updating session settings for more information

Why we don’t recommend using a single session link for a course

We understand that current practice in Collaborate is sometimes to create one “virtual classroom” that stays open for the academic year. While this may have less of an admin burden, we do not recommend doing this with Microsoft Teams, for the reasons below:

  1. To create correct user experience – students accessing the LTI will see a list of upcoming sessions in the meetings view ordered by date and time, which is the recommended route for them to join sessions. If the meetings are not set up to match their timetable they will get a confusing experience with sessions in the LTI that don’t match their teaching timetable.
  2. Putting in single session to use as an open room will result in the join link moving into the previous meetings tab once the booked meeting time has passed.
  3. Setting a session to run for the full length of the unit would block out the organiser, co-organiser and any invited attendees’ Outlook calendars for the whole unit duration.
  4. To support more granular control over access to sessions, materials and recordings for (external) guests
  5. Setting up each teaching session as a unique session will support cataloguing and managing recordings effectively.

Create a session

Open your Moodle course page, then click the Microsoft 365 LTI activity. This will be named whatever it was named at setup, for example ‘Online Classroom’.

Click on Meetings.

Then click the New Meeting button.

Name the session, and set the time and date.

Under Attendee settings, select Allow anyone on the course to join. This ensures any student enrolled on the course can join upcoming sessions.

Add any users who should be attending the meeting as a co-organiser.

Choose whether you want a single or recurring session. If recurring, click Make recurring and set the recurring times/dates.

Click Save.
